Privacy Policy

Last updated: 2 November 2026

When you use DoubleApple.ai, you trust us with information about your business, your team and your customers. We take that trust seriously. Your data is protected with encrypted connections, controlled access and careful handling at every step, and we follow the principles of the UAE’s data protection framework, together with recognised international practices, wherever your data is processed. We never sell your data, and we use it only to provide and improve the Service you rely on. This policy explains what we collect, why, who we share it with, how long we keep it, and the choices you have.

1. Who we are

DoubleApple.ai (the “Service”: the platform, the web console at app.doubleapple.ai and the DoubleApple mobile app) is operated by Double Apple Technologies FZE LLC, Amber Gem Tower, Ajman, United Arab Emirates (“Double Apple”, “we”, “us”). Contact: hello@doubleapple.ai, +971 55 571 0845.

2. Key terms

  • Client: a business that has an agreement with us to use the Service, and its account admins and team members.
  • Customer: a person a Client talks to through the Service (for example on WhatsApp, SMS, email or the website chat widget).
  • Personal data: any information about an identified or identifiable person.
  • Service data: the messages, files, contacts, labels, notes and similar content our Clients send, receive and store in the Service.
  • Account information: details about a Client and its users: names, email addresses, phone numbers, login IDs, roles and settings.

3. Our two roles

For Service data, the Client is in charge and we act on its behalf. Each Client decides which customers it messages, what it stores and for how long. We process that data only to provide the Service, as the Client instructs. If you are a Customer of one of our Clients and have a question about your messages or details, please contact that business first; we will help them respond.

For account information, billing, enquiries and our website, we decide how the data is used, as described below.

4. What we collect

We only collect what we need to run the Service well, and we explain below why each kind of information is needed.

Your account. When a business signs up, we keep the business name and, for each person who uses the account, their name, email address, phone number, login ID, role and settings such as language, time zone and whether they are online. This lets us keep accounts secure, show each person what their role allows and send chats to the right people.

Your conversations. To deliver the Service, we store the messages, photos, videos, voice notes and documents that our Clients send and receive, together with their contacts, labels, notes, templates and broadcasts, on whichever channels they use (WhatsApp, SMS, RCS, email, Instagram, Messenger or the website chat widget). We keep these so the team can see each conversation, run broadcasts and automations, and see their reports.

Billing. For paid accounts we keep the company name, business address and tax registration number (TRN), along with the plan, wallet top-ups, usage and invoices. We use these only to bill for the Service, issue tax invoices and meet tax and accounting rules.

When you contact us. If you ask for a demo or get in touch, we keep your name, company, job title, email or phone number and what you tell us, so we can answer you and help you in future.

Keeping the Service safe. Like most online services, we record sign-ins, the device and browser used, IP addresses, and errors. This helps us protect accounts, prevent misuse and fix problems.

The mobile app. The app keeps a notification token and basic device details (model, operating system and app version) so it can send you alerts. It uses your camera, microphone, photos and files only when you choose to send something in a chat.

AI features. If a business switches on the AI Agent or AI voice calls, the relevant conversation (or call audio and transcript) is sent to the AI provider that business connected with its own account, only to prepare replies and handle calls for that business.

We do not sell or rent personal data, we do not show advertising in the Service, and we do not use Clients’ conversations to train AI models.

5. How we use information

  • To provide, run and support the Service, including keeping records of what was sent and delivered.
  • To bill Clients, issue invoices and keep financial records.
  • To keep the Service safe: detecting misuse, fraud and security incidents.
  • To understand how the Service is used and improve it.
  • To tell Clients about changes to the Service, and, where allowed, to send updates, offers and news about our products by email, SMS or WhatsApp. You can opt out at any time (see section 12).

6. The mobile app

The app asks for these permissions only when you use the feature that needs them:

  • Camera: to take a photo or video to send in a chat.
  • Microphone: to record voice notes, and sound for videos.
  • Photos and files: to pick photos, videos or documents to send in a chat, and to open files customers send you.
  • Notifications: to alert you to new chats and follow-ups.

The app does not read your phone’s address book, does not track your location, and does not contain advertising or third-party analytics. You can turn any permission off in your phone settings.

7. WhatsApp and other messaging networks

Messages travel through the networks our Clients choose. WhatsApp messages are delivered through Meta’s WhatsApp Business Platform; Meta holds message content briefly to deliver it (up to 30 days under Meta’s own terms) and handles it under Meta’s privacy policy. SMS, RCS and email go through the providers connected to the Client’s account. Some of our current services are delivered through partner messaging platforms, which process data on our instructions.

8. Who we share information with

We share personal data only as set out here:

  • Service providers that work for us: cloud hosting and databases, Expo and Google Firebase for push notifications to the mobile app, email delivery, and support tools. They may store or process data only on our instructions.
  • Messaging networks and partners that carry messages: Meta (WhatsApp, Instagram, Messenger), WhatsApp Business solution providers, partner messaging platforms, and SMS, RCS and email providers.
  • AI and voice providers that a Client has connected with its own account (such as OpenAI, Google Gemini or ElevenLabs).
  • Resellers: if a Client signed up through one of our reseller partners, that reseller can see the Client’s account details, usage and billing to support it.
  • Legal reasons: where the law requires it, to respond to lawful requests or court orders, or to protect the rights, property or safety of our Clients, their Customers, the public or us.
  • Business changes: if Double Apple is involved in a merger, acquisition or sale of assets, with notice to affected Clients.

9. Where information is stored

The Service runs on cloud infrastructure. Some of our providers are outside the UAE, so data may be stored or processed in other countries. When we transfer data, we use providers that protect it with appropriate safeguards and handle it with appropriate safeguards, in keeping with the UAE’s data protection principles and the laws that apply.

10. How long we keep it

  • Service data: for as long as the Client’s account uses the Service, or until the Client deletes it.
  • Account and billing information: while the account is active, and afterwards for as long as tax, accounting or other laws require.
  • Enquiries: for as long as needed to respond and follow up, unless you ask us to delete them sooner.
  • Logs: for a limited period, for security and troubleshooting.

When an account is closed, we delete or anonymise its data within a reasonable period, except what the law requires us to keep. Backups are overwritten on their normal cycle.

11. Security

Connections to the Service are encrypted (HTTPS). Passwords are stored hashed, provider access tokens are encrypted, access is limited by role and permission, and important actions are logged. Only a small number of our staff can reach production systems, and they are bound to keep information confidential. No online service can promise absolute security, so please use a strong password and keep your devices locked.

12. Your choices and rights

  • Access, correction and deletion: you can ask us for a copy of your personal data, or to correct or delete it, by emailing hello@doubleapple.ai. We may ask you to confirm who you are first.
  • Deleting an account: the account owner can ask us to close the account and delete its data by emailing us from the registered address or asking their account manager. Team members can ask their account owner. We confirm when it is done.
  • Marketing: you can stop updates and offers at any time by using the unsubscribe link, replying STOP, or emailing us. Service messages about your account will still reach you.
  • Customers of our Clients: if your request is about data a Client holds about you, we will pass it to that Client and help them respond.
  • Where data protection laws that apply to you give further rights, we honour them.

13. Cookies

The web console uses one essential cookie to keep you signed in, and stores a few preferences in your browser, such as language, theme and display currency. These are needed for the Service to work, so they can’t be switched off in the Service; if you block them in your browser, you won’t be able to sign in. We do not use advertising cookies, and our website and console do not use third-party analytics cookies. The website chat widget stores a random visitor ID in the visitor’s browser so the conversation continues across pages.

14. Children

The Service is for businesses and is not meant for anyone under 18. We do not knowingly collect personal data from children. If you believe a child has given us personal data, contact us and we will delete it.

15. Links to other sites

Our website and the Service may link to sites we do not run. Their own privacy policies apply, and we are not responsible for how they handle data.

16. Changes to this policy

We may update this policy as the Service changes. We will change the date at the top and, for significant changes, tell account owners by email or in the Service.
